Email Signatures:
APS | MAPS | YAS

Follow the steps below to create and standardize your Outlook email signature. Once complete, send a test email to confirm formatting appears as expected. 

We recommend that you do this from a laptop or a desktop (not a mobile phone).

Step 1 — Download Approved Logos

To be sure that your email signature displays correctly in Outlook, you must download the logo image to your computer, before adding it to your signature. Use the button at right to download approved company logos to your desktop.​

  • Outlook has strict requirements for how images embed. Copy/pasting or dragging images from email or shared drives can cause logos to appear broken or not display.

Step 2 — Open Signature Settings in Outlook

Before building your signature, log into Microsoft Outlook and open your signature settings.

Click the Gear Icon (usually at the top right Outlook Mail Dashboard), to find the screen shown at right.

Once in your Settings, click:

  • Account

    • Signatures

      • Add Signature

Step 3a — Copy and paste below signature format (in blue) into editor

The standard format will be as shown below. You can copy and paste the below into your editor, and then update the template with your information:

Copy and paste the below, or recreate exactly as shown, within Outlook's Signature Editor. If you'd like to include 24/7 support number refer to format shown below for YAS:

Step 3b — Format your name

Format your name so that it will appear slightly larger and darker colored. Highlight your name and set it's size, color and style as shown in this image:

Step 3c — Format your info

Your info will be formatted to appear slightly smaller and lighter colored. Highlight your info and set it's size, color and style as shown in this image:

Step 3d — Insert Logo

Now that formatting is complete, toggle over to Insert at top (beside "Format Text").

Select Pictures. A pop-up will appear that will allow you to select a picture from your computer. Select the approved company logo that you downloaded from step 1.

  • Place the logo beneath your information

  • Resize it manually so that it is approximately the size shown in image at right.

Step 3e — Link Logo

Let's hyperlink the logo you just added. This will let people who hover over the logo in emails, click it and be brought to the website.

Highlight the logo you just added, until it is shaded like shown in photo at right.

  • Then, click Link.

Step 3f — Link Logo... to Company URL

This popup will appear when you click Link (and if the logo is correctly highlighted). Add in the company URL, as shown below.

Make sure to use the correct company URL that matches the logo being used.

Step 4 — Set + Save, and Test!

Check the boxes below the editor panel to set the signature as default for new messages and replies/forwards.

 

Then, press save and you should be good to go!
